Job Summary:

This position is responsible for assisting students, departments, and campus offices in planning, coordinating, and executing successful events. This individual will play a crucial role in fostering a vibrant campus community, enhancing student involvement, and promoting a positive campus culture.

Qualifications:

  • Must be a graduate student currently enrolled at the University of West Alabama.
  • Must have a current driver’s license.
  • Strong organizational and project management skills.
  • Excellent interpersonal and communication skills.
  • Creative thinking and the ability to develop innovative programming.
  • Knowledge of current trends and best practices in student engagement.

Responsibilities:

  1. Program and Event Planning:
    1. Assist in conceptualizing, planning, and executing a variety of student-focused programs and events, including but not limited to social events, workshops, cultural celebrations, and leadership development activities.
    1. Manage building, room reservations, event reservations, and client communication via email, phone, and walk-ins.
    1. Collaborate with student organizations, faculty, and staff to ensure successful events.
    1. Manage logistics such as event scheduling, venue reservations, catering, and technical requirements.
    1. Support Student Involvement & Activities staff with programs, administrative and operational projects, as well as other duties that may be assigned.
    1. Inform student groups about the correct procedures for marketing and promoting events.
  • Facilities Management:
    • Ensure that all spaces are safe, clean, operational, and accessible.
    • Assist with managing all events and activities, including set-up and break down.
    • Ensure facilities are managed consistently where appropriate.
    • Coordinate with the Physical Plant to develop and implement plans for preventative, periodic, and corrective maintenance and to ensure room preparation and cleaning.
    • Verify that internal and external signage is up-to-date and accurate.
    • Conduct regular inventory of equipment, tables, chairs, etc.
    • Facilitate the communication and collection of rental fees for relevant events.
    • Coordinate with campus security and manage traffic/parking assignments, if required.
