Effective Date: Immediately, upon hire.  

Reporting to the Director of Alumni Affairs, the purpose of the Engagement and Scholarship Coordinator of Alumni Affairs is to provide mission-driven support as well as coordinate and attend events designed to increase alumni awareness and engagement. The Alumni Engagement and Scholarship Coordinator works in a team setting to promote the University and cultivate internal and external constituents in support of the mission, vision, and values of the University of West Alabama.

Qualifications:

Required:

  • Bachelor’s Degree. 
  • Experience in project management, including coordinating tasks, schedules, and resources. 

Desired:

  • Master’s Degree.
  • Alumni of the University of West Alabama.
  • Experience with Raiser’s Edge or similar database.
  • Experience working with volunteer groups. 

Knowledge, Skills, and Abilities:

  • Strong organizational and event-planning skills.
  • Tech-savvy with knowledge of database management programs, such as Raiser’s Edge and other business software. 
  • General understanding of marketing, public relations, bookkeeping, and other standard business practices.
  • Initiative and self-direction.
  • Adaptable with the ability to handle multiple projects and details simultaneously. 
  • Ability to prioritize tasks to meet deadlines. 
  • Effective oral and written communication skills. 
  • Ability to travel and work extended hours, including nights and weekends. 
  • Ability to maintain confidential information.

Responsibilities:

  • Oversee event logistics, including registration, venue/equipment reservation, setup, breakdown, and coordination during events, as well as event follow-up as directed.
  • Serve as the manager of the Alumni Scholarship Program, including but not limited to application collection and verification process, communication with Registrar and Financial Aid offices to verify information, authorization forms, and work with Alumni Director and NAA Board or scholarship committee chairs to make notifications to recipients.
  • Assist the Alumni Director with tasks such as coordinating committee and meeting set-ups, compiling materials, and preparing meeting reports. Attend NAA and chapter meetings to provide note-taking services and attend to logistical and technical matters that may arise during the course of the meetings. Facilitate meetings as necessary in the Director’s absence. 
  • Administer the University of West Alabama National Alumni Association finances by inputting, running, and distributing budget reports, working closely with the Advancement staff. 
  • Manage alumni services, such as alumni membership and benefits, newsletters, surveys, and student engagement programs. 
  • Assist the Director with planning and execution of the UWA Alumni sponsored activities connected with regularly scheduled University events (e.g., Homecoming, Day of Giving, Chapter Events, NAA Awards Gala, Commencement, etc.) as well as special events sponsored by University Advancement and other departments. 
  • In collaboration with the Director, develop and manage programs and activities with current University of West Alabama students and student organizations to ensure effective communication and contact with alumni after their graduation. 
  • In collaboration with the Development Director and Alumni Director, assist with the planning of all Annual Fund related activities, including the overall program, direct mail and digital, and Giving Day activities.
  • Supervise student assistants as necessary. 
  • Ensure timely responses to Alumni Office emails and phone calls and assist with alumni communications (mailings, surveys, email newsletter, etc.) and social media as needed.
  • Serve on University committees requiring representation of Alumni Affairs as assigned by the Alumni Director. 
  • Identify, cultivate, and solicit funds from individuals or organizations as directed by the Alumni Director in order to fulfill the mission of the office.
